Head of PMO

What’s this position about?

As the Head of PMO, you will be responsible for the overall project and program management function.  The ideal candidate will provide leadership, coordination, strategic direction, and management of all PMO processes and functions, including ensuring that all projects follow the Makosi project framework and methodology. You will also be responsible for building and maturing our project management practice, including the development of the team, templates and the implementation of best practices.

Duties

Your daily adventures will include:

  • You will work as part of a dynamic leadership team in supporting the delivery of the agreed strategy and the required projects to meet the present and future needs of the organization, staff & clients of Makosi
  • Providing strategic, technical, operational, financial and managerial leadership for successful implementation of project activities
  • Leading the provision of an efficient, effective, and well-coordinated PMO function.  This will also involve leading a team, allocating tasks as appropriate, identifying risks, issues, and dependencies, considering best practices and current options, and ultimately making decisions in the best interest of the stakeholders and strategic objectives 
  • Overseeing the project backlog and guiding project prioritization discussions based on available resources and skill mix
  • Effectively communicating capacity to maintain an achievable level of work across the portfolio
  • Ensuring project managers are actively engaging stakeholders on their assignments, prioritization, and execution to ensure all projects are delivered using best practices to meet agreed requirements of scope, time, cost, and quality
  • Establishing strong cross-organizational feedback loops that guide continuous improvement and methodologies to set productivity and quality targets to access results for all projects
  • Providing oversight of project implementation including all activities, outputs, and outcomes related to project management and administration, including reporting, budget development and monitoring, financial transactions, execution of project plans, and project performance and ensuring each project has a realistic and achievable definition of done before executing
  • Assigns clear roles and responsibilities, providing effective supervision, proactively identifying, and responding to risks, helping remove roadblocks and coordinating solutions, and managing performance of the team to ensure efficient operations while enabling them to supervise and manage the full project life cycle
  • Conducts regular reviews to ensure accountability of all project activities as well as the accurate and timely reporting of all deliverables, communications, and other obligations
  • Set standards on metrics for team members to measure performance and conduct people management activities including feedback and reviews
  • Agreeing on project priorities, ensuring appropriate resourcing, and establishing and embedding the required project governance and reporting arrangements
  • Responsible for making recommendations, providing advice and able to prepare strategic reports/briefings
  • Working collaboratively with local and international colleagues as well as other stakeholders, both internal and external
  • Engaging effectively with internal and external stakeholders to nurture key relationships, build effective partnerships and develop networks to support collaborative delivery
  • Provide training and development opportunities and serve in a mentoring role for the team

Role Requirements:

  • 10 years project management & PMO experience
  • Relevant qualification and experience managing portfolios at a strategic level
  • Experience of setting up and managing a successful Project Management Office
  • Experience of managing a mixed and varied workload of conflicting priorities responding effectively to the needs of all customers
  • Experience in employing change management and best practice disciplines
  • Experience of report writing and communications for a variety of audiences
  • Experience in dealing with a range of complex and contentious matters requiring a consistently high degree of support, persuasion and advocacy and an awareness of major policy objectives
  • Knowledge and experience of best practice project management methodologies and techniques to provide sound advice and support to Project Managers and Sponsors
  • Experience and knowledge in delivering solutions using various project management methodologies
  • Assignments may be broad in nature, requiring originality and innovation in determining how to accomplish tasks
  • Operates with appreciable latitude in developing methodology and presenting solutions to problems
  • Proven ability to manage direct reports
  • Possess the ability to communicate in both oral and written forms, demonstrating an ability to communicate effectively with all levels of staff as well as clients
  • Be forward-thinking, driven and determined to make a difference
